Privacy\nand security are practically buzzwords in the health care industry, yet\naccording to the latest Global Data Risk Report from Varonis, approximately 25\npercent of files in every organization are available for anybody to see. Half\nof all companies surveyed had exposed thousands of files containing sensitive\ndata to their employees \u2013 and those numbers are creeping up. HIPAA regulations\ndemand better control over this sensitive data in medical practices nationwide.\n<\/p>\n\n\n\n

Assessing\nRisk & Taking Steps to Protect Information<\/strong><\/h2>\n\n\n\n

When\nwe talk about exposed files, we aren\u2019t referring to the old-fashioned manila\nfolders tucked away inside filing cabinets. At issue is electronic data; wrong\nor broken permissions inadvertently allow anybody in the organization to access\nemployee and patient data. The Varonis report found that for each terabyte of\ndata available, tens of thousands of files on average were improperly exposed,\nhad the wrong permissions, or weren\u2019t updated with adequate permissions. Adding\nto the problem? Few organizations take the proper steps to monitor their data.\nMore than half of most companies\u2019 files contained irrelevant data, inactive\nuser accounts, and passwords that that weren\u2019t set to automatically expire\nwithin a given time frame. <\/p>\n\n\n\n

This\ncan get an organization into trouble. Running afoul of HIPAA can result in\nsteep fines if a data breach or theft occurs. It\u2019s crucial your organization\nassesses risk factors and takes steps to keep patient information secure. Doing\nso requires controlling access to data and cleaning out \u201cstale\u201d files that are\nno longer relevant. <\/p>\n\n\n\n

While\nundoubtedly a time-consuming process (each file will probably take several\nhours to audit and correct access issues), think of it as a necessary evil.\nPractices that don\u2019t regularly check up on old accounts with non-expiring\npasswords and delete irrelevant information put themselves at risk of\ncybersecurity threats and potentially stiff penalties. There is another benefit\nto performing ongoing risk assessments and proactively controlling data access:\nyour organization will likely save money and shore up security problems.\nVaronis encourages all practices to routinely audit these accounts to ensure\nusers can only access the specific data they need. No more and no less. <\/p>\n\n\n\n
